Aged care
How can aged care office and support staff use AI safely?
Aged care teams handle some of the most sensitive information there is, including health details, family contacts and care notes. Staff can use AI for rosters, newsletters, training materials and routine emails, but they need to know exactly what must never go into a tool. AI Work Ready trains office and support staff on your own privacy rules, using scenarios from aged care work.
Who this is for
Administration, rostering, reception, finance, HR and support staff in residential aged care, home care and community care providers. It is about office work, not clinical decisions.
Where AI can help, and where it must not
- Helpful. Drafting a family newsletter about an upcoming event
- Helpful. Turning a policy into a plain-English summary for new staff
- Helpful. Tidying a roster request email before it is sent
- Not without a clear rule. Anything that names a resident or client
- Never. Health information, care notes or incident details in an unapproved tool
Why privacy comes first
Health information is sensitive information under the Privacy Act. The Office of the Australian Information Commissioner recommends that organisations do not enter personal information, and particularly sensitive information, into publicly available AI tools. Your organisation sets the rules for which tools are approved. The training helps staff apply them on a busy day.
Common aged care office tasks and AI
| Task | Can AI help? | What staff check |
|---|---|---|
| Family newsletter | Yes, with no resident details | Dates, names of events, tone |
| Roster change email | Yes, with no health reasons | Shift times and who it goes to |
| Incident summary | Not in an unapproved tool | Your incident process instead |
| New starter guide | Yes, from approved policy text | That it matches the current policy |
